Account Management

To manage users, you need the System Admin role.

In the table on the left, an overview of all created users is displayed. By clicking on individual entries in the table, you can view details of the selected user in the detail area on the right. Click on the column headers to sort by username, first name or last name.

Account details can be edited here.

Via the Reset password button you can open a dialog in which you can assign a new initial password to another user. This must then be changed by the respective user after logging in for the first time.

Create Account

The Create Account button opens a dialogue for entering the details with which the new user is to be created. Here, the username is the login name of the user. Assign licenses to the account for the documents or packages that are to be used with it. If you need additional licenses, you can go directly to the BAYOOSOFT Shop via the Buy more licenses button. New data has always to be saved, using the Save button.

Roles Management

Under the tab Roles management you can see the roles assigned to the respective account. You can view the rights assigned to the individual roles via the icon INFO. Hover over it with the mouse, or click on the icon to display a new window.

With the icon Trashcan you can revoke the selected role.

Click the Assign new role button to open a new window. In this window you can assign a new role to the respective account. Depending on the selected role, you can choose a scope of application for a role (e.g. a user with the role System Administration can fill his role only system-wide, Approving Person fills this role in one or more specific documents), and specify it more precisely if it is a version or project.

Managing Roles from within the Version

Roles that are project or version specific can also be managed from within the version via the team administration. (see Team under Main Functions).

Product Version Administration

Role that allows creating new document versions, updating version details, managing role assignments, assigning other users to tasks, reading and commenting tasks and generating reports.

Editing Person

Role that allows reading role assignments, generating reports, creating, reading, updating, deleting and commenting tasks and assigning users to tasks in the version.

Task Approving Person

Role that allows reading role assignments, generating reports, reading, approving, removing the "Approved" state, commenting tasks and assigning users to tasks in the document.
